Sending appointment reminders on WhatsApp for clinics
Patients forget appointments, and in India most of them check WhatsApp many times a day. A short reminder there is one of the easiest ways for a clinic to cut missed visits.
Why reminders matter
A missed appointment is an empty slot and lost time for the doctor. A reminder gives the patient a chance to confirm, reschedule or cancel, and a cancelled slot can go to someone else.
What to send
- A booking confirmation with the doctor's name, date, time and the clinic address
- A reminder the day before
- An optional short reminder a few hours before the visit
- A simple way to reschedule or cancel
- A thank-you or follow-up message after the visit, if the doctor wants one
What a clinic needs to send WhatsApp messages
Automatic messages go through the WhatsApp Business platform, usually via a messaging provider. You need a business phone number, approved message templates, and the patient's agreement to receive messages. Providers charge per message, so ask for the rates before you start.
WhatsApp or SMS?
Use WhatsApp for patients who are on it, and keep SMS as a backup for those who are not. Clinic software can pick the channel for each patient, so reception does not have to.
Good habits
- Keep messages short and include the clinic's name
- Never put diagnosis or treatment details in a reminder, because a phone can be seen by others
- Send at sensible hours, not late at night
- Make sure a reply reaches a real person at the clinic
